Customer Profile
The Park Lane Group consists of a number of entities that owns and manages its own rental portfolio of approximately 150 units as well as building new homes.
The Challenge
We use Sage L50 for all our accounts information. We also have a construction package to manage our new homes division that links directly to sage. At the time we also had a very outdated property management system to run our rental portfolio. This could not produce management information without a great deal of manual intervention or link to our accounts package. Considerable time was spent in data entry as well, attempting to report financial information. We were also running various excel spreadsheets to maintain information such as gas safety checklists, works orders.
The Solution
We decided, therefore, we needed a system that could work just as our construction package did; data was entered on this one package and then could feed into L50 automatically. We also wanted a 'one shop' approach where all our other lists/excel sheets were ceased to be used and we could have all the information in one place. We looked at various packages and had numerous demonstrations and picked Landlord manager as the preferred option. Not only did the system look very user friendly, it linked to sage automatically and all the information to run the property portfolio could be stored on it.
The Benefit
We have now been running the system for approximately 8 months and the benefits have been incredible. All the team now run off one system, we can monitor our gas safety, insurance renewals, deposits registration and numerous other items of administration. As Finance Director, I can now run managements reports direct from Landlord Manager and know they agree to my financial information on sage. Also as we have 5 entities to report on, I no longer have to go into 5 separate sage companies to report on rental figures, I can pull this information direct from Landlord Manager. Our data entry is now much quicker and we can run tenant statements from sage or Landlord manager at the press of a button. Gradually over time we have used the letter writing facility and can now mail merge our tenant's information with standard documents. We are very pleased that Landlord Manager has shown a very positive commitment into continually making improvements to the system and we have items on a 'wish list' that are gradually being incorporated into new updates that are being made.
